Cancellation Policy

1. Participant Cancellations

  • Up to 60 days before the start date: Full refund of event/programme fees, minus a £25 administrative processing charge.

  • Between 60 and 30 days before the start date: 50% refund of event/programme fees. (The remaining portion covers venue commitments, facilitator preparation, and reserved materials.)

  • 30 days or fewer before the start date: No refund available. At this stage, all programme costs are committed, and your place cannot be reallocated.

2. Transfers & Deferrals

  • Transfer to another participant: You may nominate someone to take your place at no additional cost, provided you notify us at least 7 days before the event/programme begins. All transfers must be approved to ensure participant suitability for the Encounter.

  • Deferral to a future cohort: Deferrals are considered on a case‑by‑case basis. If approved, a £50 rescheduling fee applies. Deferrals are not available within 7 days of the start date.

3. Programme Changes or Cancellation by Organisers

In the rare event that the event/programme must be postponed or cancelled due to unforeseen circumstances (e.g., facilitator illness, venue disruption, extreme weather), participants will be offered:

  • A full refund or

  • A transfer to the next available cohort at no additional cost.

We are not responsible for travel, accommodation, or other personal expenses incurred.

4. Non‑Attendance

Non‑attendance without prior communication is treated as a late cancellation and is not eligible for refund, transfer, or deferral.

5. Exceptional Circumstances

We recognise that life events can arise unexpectedly. If you experience a significant personal emergency (e.g., bereavement, serious illness), please contact us as soon as possible. We will review your situation with care and may offer a partial refund or deferral at our discretion.

6. How to Cancel or Request Changes

All cancellation, transfer, or deferral requests must be submitted in writing to the programme team at least 48 hours before the relevant deadline. Requests are processed Monday–Friday during standard working hours.

7. Agreement to Terms

By booking a place on the event/programme, participants acknowledge and accept this cancellation policy.
